Finance Assistant-Bookkeeper Position Description

Job Summary – The Finance Assistant-Bookkeeper’s responsibilities are to maintain financial records and to accurately record all day-to-day financial transactions of the school including purchases, sales, receipts and payments.

Primary responsibilities –


  • Enter sales receipts
  • Create Quickbooks deposits
  • Reconcile Paypal and Credit Card charges
  • Enter Accounts Payable
  • Run Accounts Payable checks and issue student refunds
  • Input outside payroll service transactions into Quickbooks for each payroll period
  • Make appropriate transfers to managed accounts
  • Written and verbal correspondence with staff and vendors


  • Enter brokerage accounts gains/losses
  • Enter Merchant service monthly fee
  • Reconcile accounts (operating, money market, brokerage, scholarships and restricted funds)
  • Create financial reports for Executive Director
  • Transfer scholarship expenses and admin fees


  • Prepare for end of year financial audit
  • Transfer beginning balances
  • Reconcile gift certificates

Job Requirements

  • A minimum of two years of experience in a similar role in a nonprofit organization
  • Basic knowledge of accounting and bookkeeping procedures
  • Proficiency in Quickbooks and MS Office
  • Integrity and a dedication to the mission of Woodstock School of Art

Hours – Up to 14 hours, Tuesdays and Thursdays (days flexible): 9:00 AM – 4:00 PM
