 WSA Art Fair at Upstate Art Weekend
Woodstock School of Art | Studios 1, 2, 3, 4
 Saturday, June 27 | 11AM – 5PM
Sunday, June 28 | 11AM – 4PM

ELIGIBILITY: 

  • Registration is open to current and former Woodstock School of Art students.
  • Both current and former WSA instructors are eligible to participate.
  • Artists are encouraged to showcase artwork created during their time at the Woodstock School of Art.

REGISTRATION 

  • Space is available on a first-come, first-served basis, according to registration time.
  • Once yours is processed based on the registration timeline, you will receive an email from heather@woodstockschoolofart.org detailing available spaces. You will then be able to select your preferred space and pay the registration fee. Due to the high volume of registrations, please monitor your email closely. Space selection and payment should be completed within 48 hours of receiving our notification before we move onto the next registrant.
  • You may share your space with other eligible artists of the WSA community. All participating artists need to register separately. 

Studio 1 & 2
There will be 19 spaces, each space is 10’x10′. These spaces are $100 for the weekend. Note: These spaces have room for floor displays, tables, etc. and some include wall space.

Studios 3 & 4
There will be 6 spaces, these spaces include the use of two tables and some wall space. These spaces are $100 for the weekend. Best suited for printmaking artists Note: No use of hardware on these walls, but can use the cork boards with push pins provided. No space for floor displays, everything must be displayed on the tables or wall space.

Studio 5
There will be 6 spaces, there will be spaces with two large tables and some spaces will have one or two small wall shelves. These spaces are $100 for the weekend. Best suited for sculpture artists. Note: No space for floor displays, everything must be displayed on the tables.

Note: Some spaces may have light switches, windows, etc. You can reach out to view the studios ahead of time to help you choose your space, contact the office.

Friday, June 26

CLEAN UP/BREAK DOWN

  • To maintain a consistent event atmosphere for all visitors, artists are requested to refrain from early breakdown and begin cleanup only at the designated time.
  • All items brought by artists must be removed.
  • All artists must clean their space prior to leaving including putting away tables, easels, and chairs along with sweeping, patching walls (if applicable), etc. 

    PROVIDED BY WSA
  • Studio 1 & 2 one easel per space and one studio table per space – 24”x36” in Studio 1 & 2. 
  • Studio 3 & 4 tables already in spaces, tables sizes vary. 
  • Studio 5 – two tables, 24″x72″ each.
  • Chair(s)/Stool(s)
  • Additional Tables/Chair(s)/Stool(s) may be available during setup.

SPACE DETAILS

  • Artists may use small nails or command strips to hang their artwork on the wall only in Studio 1 & 2. If the corkboard is in your space please try to use the aluminum push pins provided. Artists must patch any holes (not necessary on the corkboard) and leave the walls in good condition before leaving.
  • NO artwork, displays or any items may be leaned against windows.
  • NOTHING can be hung from the windows.

ARTISTS ARE RESPONSIBLE FOR THE FOLLOWING

Bringing their own display and items needed such as:

  • Extension cords/power strips
  • Display racks
  • Drapery
  • Additional tables/easels
  • Protective sleeves/wrapping material for fragile items
  • Price tags/stickers
  • Bring lunch/water (there will be a vendor area with coffee, water, snacks)

Artists must run their space by doing the following:

  • Occupying the space at all times.
  • Provide clear pricing information for buyers.
  • Complete a WSA Art Fair Order Receipt (see last page for more details).
  • Send all sales to check out, no sales are to be made directly with space/artist.
  • We suggest each artist keep a list of sales for their own record, although you will receive a copy of the itemized receipt (see below).

MARKETING

  • This year we are partnering with UPAW and local media sources for a comprehensive advertising plan. 

TERMS OF PARTICIPATION

  • WSA will process all sales and will submit NYS Sales Tax payments. 
  • Artist commission 80% and WSA commission 20%. 
  • All payments to artists will be made within two weeks of the event. 
  • All display materials must be provided by exhibitors. 
  • Images submitted may be used by WSA to publicize the exhibition or facility. WSA reserves the right to photograph artwork for promotional purposes. 
  • Artists are responsible for covering any damages made to WSA studios during event
  • All items may be left overnight in the locked studios. 
  • WSA is not responsible for any damaged, lost or stolen artwork, displays, or any other items brought by artists throughout the event.

SUGGESTIONS

  • Bring a variety of work with different price points. For example, some buyers may be looking for works under $100.
  • Your pricing should be visible and clear to the guests. 
  • You might want to create a sign with your name, maybe include your website/social media if you have those. Bring business cards if you have them. 
  • Consider putting a mailing list out to let buyers know where you will be exhibiting. 
  • It’s helpful to take the time to make a layout so that when you come to set up you have a plan.
  • Be prepared to engage with the guests and make sure to be welcoming! 

CANCELLATION POLICY
Cancellations are fully refundable up to four weeks before the event  begins. 50% of fee will be refunded for cancellations made two weeks before the event. A written request must be sent to the Registrar at registrar@woodstockschoolofart.org. If cancellation is less than two weeks before the event, no refund will be given.
